Top virtual data rooms with AI features

Only rooms that list AI features natively. Ranked on toolkit and protection, because AI is only as useful as the room around it.

5 picks from 18 providers scoredRanked by the Top Data Rooms modelPrices in USD, indicative

AI features in data rooms cover a few practical jobs: suggesting an index, auto-categorising uploads, summarising long documents, finding answers across the room, and drafting or routing Q&A responses. They save hours on large rooms. They also raise new questions about where document text is processed and whether it is used to train models.

Only providers whose facts list AI features natively are eligible, so this list is shorter than ten. Among them, the diligence toolkit carries 32% and data protection 28%, because AI on top of a weak room does not help much.

Buyer's notes

Questions for any AI feature

Where is document text processed, and by which model provider? Is customer content used to train models? Can admins switch AI off per room or per user group? Are AI outputs logged in the audit trail? A vendor that answers all four in writing is ready for a regulated deal.

Where AI helps most

Large rooms with thousands of files benefit most: automatic indexing and categorisation save setup time, and cross-document search with summaries helps reviewers find the right contract clause quickly. On a small room the gain is smaller.

Keep a human in the loop

Use AI summaries to triage, not to sign off. A summary can miss a change-of-control clause or an indemnity cap. Treat AI drafting of Q&A answers the same way: a draft for an expert to check, not a published answer.

Questions about this list

Which data rooms have AI features?

Among the 18 providers we track, Ellty, Datasite, Ansarada, Drooms and Box list native AI features. The details differ, so ask each for a demo of the specific job you need, such as indexing, summaries or Q&A drafting.

Is it safe to use AI on confidential deal documents?

It can be, if the vendor processes text within its own controlled environment, does not train models on your content and lets you restrict the feature. Get those answers in writing before switching AI on for a live deal.

Does AI replace legal due diligence?

No. AI speeds up sorting, searching and first-pass summaries. Lawyers and advisers still need to review the documents and take responsibility for the findings.

Do AI features cost extra?

It varies by vendor and tier. Some include AI in the standard plan, others sell it as an add-on. Ask for the price with and without AI on the same scope.
