Beyond the feature list

A checklist tells you what exists, not how well it works for your process. Two rooms can both list a Q&A module while differing a lot in how questions are routed, approved and published. Once the checker has narrowed your list, open the profiles of the two or three rooms left and ask each vendor to show the specific workflow you need in a demo or trial.

Checklist breadth carries 12% of our overall score. The rest comes from the depth of the deal toolkit, data protection, ease of adoption, cost predictability and support, which is why the room with the most ticks is not automatically first on the leaderboard.

Feature checker questions

What features should a virtual data room have?

For a diligence process: a Q&A module, granular permissions with view-only and download control, dynamic watermarks, a full audit trail, two-factor login and bulk upload. Redaction, SSO, an API and AI features matter for specific buyers.

How does the feature checker work?

Tick the features you need. Providers that list every ticked item stay on top; the rest are greyed out with the missing items named. Data comes from our shared provider facts file.

Does "not listed" mean a provider cannot do it?

Not always. It means the feature is not in our verified facts for that provider. It may sit in a higher tier, be sold as an add-on, or be on the roadmap, so ask the vendor.

Which feature is hardest to find?

On our current data it is the one marked rarest in the coverage card on this page; native redaction, mobile apps and AI features are all listed by a minority of providers.
