Request the hosting region for your room in writing and whether you can pin it to the EU. Ask for the sub-processor list and how the vendor covers transfers to third countries, for example through standard contractual clauses.
Languages and time zones
Cross-border European deals often involve bidders from several countries. Check interface languages, support hours in your time zone and whether Q&A can run in more than one language.
Works councils and local rules
Some jurisdictions require consultation with employee representatives before certain information is shared. That affects what goes in the room and when, not which room you choose, but plan the timeline with it in mind.
