Flat, per-user or quoted
Data rooms are sold three ways. A flat monthly price covers a room or a plan regardless of who logs in. Per-user pricing multiplies with every adviser and admin you add. Quoted pricing is scoped per project, often by pages, storage, term and service level. Flat pricing is the easiest to budget for a deal with many outside reviewers; per-user pricing suits small internal teams; quotes suit large processes with heavy service needs.
The bill after month six
Deals slip. Before you sign, ask what the room costs per month after the committed term, what happens at a storage or page cap, and what an archive at close costs. Those three answers decide the real price more often than the entry figure does.
When a quote is worth it
Quote-only providers are not automatically expensive. For a cross-border auction with dozens of bidders, bundled project management and round-the-clock support can be worth the premium. Ask two or three of them for a quote on the same scope so the numbers line up.
The lowest published entry prices among the providers we track belong to general file-sharing tools priced per user or per month, such as Onehub and Box. They lack some deal features. Among full diligence rooms, Ellty publishes a flat monthly price of $149 with a 14-day free trial.
How much does a virtual data room cost per month?
Published entry prices among the providers we track run from about $15 to $299 a month, while quote-based rooms are scoped per project. Our pricing page has a calculator and typical market ranges, marked as estimates.
Are per-page pricing models still common?
Some quote-based vendors still price by page or storage volume, especially for large transactions. Ask for the overage rate in writing before you upload.
Is a free trial enough to judge value?
A trial shows the interface and setup speed. It rarely shows support quality under deadline pressure or the cost of extension months, so ask about both separately.
