Open a trial or demo room, upload a folder tree, invite a colleague as an outside reviewer and ask them to find one document. If either side needs help, so will your counterparties.
Simplicity has two sides
A room that hides advanced settings is fast to learn but can frustrate an admin who needs per-group download rules. The best rooms keep the reviewer view plain while giving the admin depth when needed.
Training costs time, not money
Enterprise suites often include onboarding sessions. That is useful, but it is also a sign of how much there is to learn. For a company running its own process without advisers, a room that needs no training is worth points.
